CONFIRMATION OF BOOKINGS
A booking will only be regarded as confirmed when either it has been guaranteed with a credit or debit card number upon payment of the appropriate non-refundable booking fee; or a cheque has been cleared or cash funds received. A non-refundable deposit of £20.00 per person per night is required when a reservation is made and this will be deducted from the final account. Telephone credit and debit card bookings (MasterCard, Visa and Maestro) are accepted. Cheques to confirm bookings should be received by us at least six working days prior to your arrival. By using this booking system, you are giving us permission to take the deposit charge and to accept your reservation as a confirmed booking without any further action required on your part.
CANCELLATION
We strongly recommend that you consider Travel Insurance to cover your obligations under a booking contract. Should circumstances prevent you from taking your holiday as planned or make it necessary for you to curtail it, you should notify us by telephone immediately and then in writing to minimise the Cancellation Charge. In the event that we are able to re-let your accommodation on at least the same terms, only the deposit will be forfeited. If we are unable to do so, the following Cancellation Charges will be made based on the length of notice received by us:
In the event of non-arrival or of cancellation less than 48 hours prior to the arrival date, the full confirmed value of the stay will be charged.
For cancellations received between 2 and 30 days prior to the arrival date, 80% of the full confirmed value will be charged.
For cancellations made more than 30 days prior to the arrival date, 50% of the full confirmed value will be charged.
In all cases where we successfully re-let cancelled accommodation, any revenue received from such re-letting will be deducted from the cancellation charge or reimbursed as appropriate. Cancellation charges if due, may be taken fro your credit or debit card.
CHECK-IN
Rooms will be available from 2pm onwards. Please inform the Hotel if you expect to arrive after 6pm. On arrival, the full balance of your booking is requested by Credit Card, Maestro or other debit card, cash or a single cheque guaranteed by a Bank Card. You will be given a Guest Registration Card by which you may be able to obtain additional goods and services in the Hotel and thereby authorise us to take payment for them from your credit or debit card. Please keep it safe and report any loss immediately to Reception.
CHECK-OUT AND PAYMENT OF ACCOUNTS
Bedrooms must be vacated by 10.30am on the day of departure. Payment of any extras is due on presentation of account and may be made by credit card (MasterCard and Visa), debit card, Building Society Cheque or cash. We regret that we are only able to accept single personal cheques up to the limit of a cheque guarantee card. Should you query any part of any invoice, you should pay the undisputed balance of the sum owed on the date it is due and the remainder once the query has been resolved. Amounts remaining unpaid after the due date will be liable to interest at the rate of 2.5% per week, calculated from the date of the account. Any collection costs incurred by the Hotel (including fees billed by collection agencies, credit reference agencies and solicitors) will be added to the final amount payable and will also be subject to interest at the rate stated.
VAT/SERVICE
Tariffs quoted are inclusive of VAT at the current rate unless stated otherwise. We reserve the right to increase our price to you should the VAT rate change. Gratuities for staff are entirely at the discretion of the guest.
VALUABLES
The Hotel will not be responsible for guests’ valuables unless they are deposited in the Hotel safe under our Safety Deposit procedure.
CAR PARKING
Parking is available free of charge within the Hotel grounds on a first come first served basis. Vehicles and their contents are parked entirely at guests’ own risk.
DOGS
Well-behaved small dogs are accepted at tariff rates. They are not allowed in any public areas of the Hotel or Leisure Centre. Guests will be required to read and sign terms and conditions for dogs staying in the hotel.
LAUNDRY/DRY CLEANING
A same day laundry and dry cleaning service is available from Monday to Friday through an outside contractor and items should be left at Reception by 8.30am.
LEISURE FACILITIES
All residents may use, without charge, the facilities of the Leisure Club which comprises an indoor and outdoor (seasonal) heated pools, Jacuzzi and sauna. Subject to acceptance of the safety rules available from Reception.
TOWELS
We do request that Hotel towels are not removed from the bedrooms. Towels for use in the Leisure Club are available from Reception.
MEALS
Breakfast and dinner are served in the Cunarder Restaurant
Breakfast: 7.45 – 9.30am Monday to Saturday 8.15 – 10.00am Sunday
Dinner: 7.00 – 8.45pm last orders
Bar snacks are available in the Aquitania Bar Lounge between 12.00 and 2.00pm daily.
SMOKING
Smoking is not permitted in any part of the hotel or holiday apartments. If a room needs to be fumigated because smoking has taken place, the cost of £100 per room will be payable and may be taken from your credit/debit card.
DRESS CODE
As a courtesy to other diners and to avoid any possible embarrassment, we request that smart casual wear (i.e. not shorts, tracksuits etc) is worn in the Restaurant for dinner. It is Hotel policy to refuse admission to anyone considered unsuitably attired.
GENERAL
No allowance can be made for meals not taken or temporary absence when booked on inclusive terms.
We reserve the right to alter, substitute or withdraw any service, entertainment, facility or amenity described and to vary the tariffs given without prior notice.
DAMAGE
Any cost incurred by the Hotel in repairing damage caused by a guest or an individual in his/her party to the property of the Hotel or in compensating any other person, must be borne by the guest.
Terms and Conditions for Group Bookings

The booking contract, which is made between the Hotel and the Tour Operator or Organiser, will only be regarded as confirmed upon payment of the appropriate non-refundable deposit as specified in the Provisional Booking Letter. The deposit will be deducted from the final account. Telephone credit and debit card payments (MasterCard, Visa and Maestro) are accepted. BACS payments or cheques to confirm bookings should be received by us within the timescale specified in the Provisional Booking Letter. Therefore payment for the booking must be made in accordance with the timescale set out in the Provisional Booking Letter. If cleared funds are not received by us at least 48 hours before the arrival date the booking will be deemed to have been cancelled.
CANCELLATION
Should circumstances prevent you from honouring this booking in full or make it necessary for you to curtail it, you should notify us by telephone immediately and in writing to minimise the cancellation charge. In the event that we are able to re-let your accommodation on at least the same terms, only the deposit will be forfeited. If we are unable to do so, the following cancellation charges will be made based on the length of notice received by us.
For cancellations made more than 8 weeks prior to the arrival date, no charge will be made.
For cancellations received less than 8 weeks prior to the arrival date, 80% of the full confirmed value of the stay will be payable.
In the event of a non-arrival or cancellation less than 48 hours prior to the arrival date, the full confirmed value of the stay will be charged.
These cancellation charges are a genuine estimate of loss suffered by the Hotel including the administration resulting from last minute attempts to re-let the accommodation.
CHECK-IN
Rooms will be available from 2pm onwards. Please inform the Hotel if you expect to arrive after 6pm. We regret that we will not permit check-in unless cleared funds have been received by the Hotel in accordance with the procedure notified in the Provisional Booking Letter.

Payment for any amounts due in excess of the pro-forma invoice are due on presentation of account and may be made by Credit Card (MasterCard and Visa), Debit Card, Building Society Cheque or Cash for sums owed to the Hotel. Payments accepted by the Hotel from persons other than the Organiser does not release the Organiser from any outstanding financial or other obligation under the booking contract. Should you query any part of any invoice you should pay the undisputed balance of the sum owed on the date it is due and the remainder once the query has been solved. Amounts remaining unpaid after the due date of any invoice will be liable to interest at the rate of 2.5% per week calculated from the date of the account. Invoices not paid by the due date will give the Hotel the right to cancel any future bookings at its own discretion and without any liability. Any collection costs incurred by the Hotel (including fees billed by collection agencies, credit reference agencies and solicitors) will be added to the final amount payable and will also be subject to interest at the rate stated.
VAT/SERVICE

DAMAGE
In the event of damage to Hotel Property or to that of other guests caused by a member of the party, the Hotel reserves the right to charge the Organiser in full.
COMPLIMENTARY ACCOMMODATION
Where accommodation is offered free of charge for a coach driver or Organiser we reserve the right to provide this in a suitable nearby location should the Hotel be unable to provide it.
